6. Lesson Recordings, Summaries and Your Lesson Folder

Lessons are taught live on Microsoft Teams. With your agreement, lessons are recorded so that you can use them for practice.

What is created

• A recording of the lesson
• A written summary of what was worked on during the lesson
• A practice plan setting out what to work on before the next lesson

How the summary is produced

The written summary and practice plan are produced with the assistance of automated tools, including artificial intelligence, which process the lesson recording or its transcript in order to generate the notes. The output is reviewed before it is shared with you. No automated decision with a legal or similarly significant effect is made about you.

Your lesson folder

These materials are placed in a private folder created for you, and you are sent a link to it. The link is shared with you only. It is not published, indexed or listed publicly.

Consent

Recording takes place only with your agreement. You may decline recording, ask for a particular lesson not to be recorded, or ask for any recording to be deleted, at any time, without affecting your lessons in any way.

Access and deletion

You may request a copy of your recordings and summaries, or ask for them to be deleted, by emailing matt@singtheeasyway.com. Deletion requests are actioned promptly.

Other people in the recording

If anyone else can be heard or seen in your lesson, please let us know beforehand so that appropriate agreement can be obtained.

Legal basis

Recording and the production of summaries is carried out on the basis of your consent. Where a recording forms part of the service you have purchased, it is also necessary for the performance of our contract with you.

7. Data Sharing

We do not sell your personal data. We only share information with:

• Payment processors (Stripe, PayPal) to process transactions
• Jotform, which hosts the enquiry form and the community signup form
• Email service providers to send communications
• Microsoft, as the provider of Teams, which hosts the live lesson and any recording
• Providers of the automated tools used to produce lesson summaries, which process the recording or transcript for that purpose only
• Legal authorities when required by law

8. Data Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction.

9. Your Rights

Under UK GDPR, you have the right to:

• Access your personal data

• Request deletion of your data

10. Data Retention

We retain your personal data only as long as necessary for the purposes outlined in this policy, or as required by law (typically 6 years for tax purposes).

Lesson recordings, summaries and practice plans are kept for as long as you remain a student, so that you can continue to refer back to them, and are deleted on request at any time. If you stop taking lessons, they are deleted on request or removed during routine review.

Used when you enquire about lessons or book a consultation. It collects:

• Your phone or WhatsApp number, if you choose to give it
• Your current singing experience
• What you would like help with
• Where in the world you are, so that suitable lesson times can be offered
• Your confirmation that we may contact you about your enquiry

Why we process it: to reply to your enquiry and to arrange lessons. The legal basis is your consent, and where lessons are arranged, performance of our contract with you.

The community signup form

Used if you choose to join the email community. It collects:

• Your first name
• Your email address
• Your explicit agreement to receive emails

Why we process it: to send occasional singing tips and news about events and workshops. The legal basis is your consent. You can withdraw it at any time using the unsubscribe link in any email, or by emailing matt@singtheeasyway.com. Joining the community is never a condition of booking a lesson.

Where the data is held

Jotform is based in the United States, so information submitted through these forms may be transferred to and stored outside the United Kingdom. Transfers are covered by appropriate safeguards, including standard contractual clauses. Jotform's own privacy policy is available at jotform.com/privacy.

How long it is kept

Enquiries are kept while we are in contact and for a reasonable period afterwards in case you return. Community signups are kept until you unsubscribe. You may ask for either to be deleted at any time and it will be actioned promptly.
